Leads List

View lead submissions in a list view and access more lead data to better prepare for appointments or events.

 

The Leads List provides a chronological record of each lead that converted using the application and modules on your website, beginning at the most recent leads. Users may view older lead submissions by expanding the number of rows visible or by clicking the forward chevron at the bottom of the list. The Leads List displays the customers' names, the dates and times the leads were created, the company or companies that received the leads, and the app or module through which the customer became a lead. The list also includes the number of touches or the number of times the customer visited your website before becoming a lead or submitting their information.

 

To export the customer and Lead List data to a CSV (comma-separated value) file to be viewed in Microsoft Excel or Google Sheets, click the Export Leads List button to the right of the search bar. The data exported is representative of the date range or interval selected within the filters. To export all customer and lead list data, click the Clear Filters button or choose a custom date range, then the Export to CSV button. 

List Navigation

Number of rows displayed: Adjust the number of rows displayed by clicking the drop-down selector at the bottom left of the page.

Navigate between pages: Use the pagination selection at the bottom right of the page. This will allow you to view older leads. Note: Pagination only appears if there is more data available than can fit on the page. By default, 10 rows of data can be displayed, though this number can be increased to 100 rows.

 

List Filters

Leads displayed on the calendar can be filtered by using the drop-downs above the calendar to reduce the information displayed and hone in on specific leads.


Filters are dependent on user roles and permissions.
  1. Date Range/Interval: Select a predefined date interval or a custom date range to view leads generated during a specific time period.Agency: Filters results to only include those that are associated with the selected agency or partner(s).
    • Property Management Company: Filters results to only include those that are associated with the selected management company or companies. For instance, many real estate companies own apartment communities and enlist a property management group to manage one or more properties. Property management companies may need to be set by your account manager. 
    • Ownership Group: Filters results to only include those that are associated with the selected Ownership Group(s). For instance, a property management group may manage a property for a real estate investment group or company. Ownership groups may need to be set by your account manager.
    • Region: Filters results to only include those that are associated with the selected region(s). For example, companies with offices across the country may want to see data for different region segments. Regions may need to be set by your account manager.
There is no filter dependency. If a lead or customer does not match all set filters the lead or customer will not be included in the results.

A search bar allows the user to search for a specific customer within the time period displayed. Users can search by first name, last name, phone number, or email address.

Searching the Leads List

  1. Log in to the platform.
  2. Click Leads on the navigation menu.
  3. The Leads Calendar page displays in the main window.
  4. Click the Leads List tab above the calendar.
  5. The Leads List page displays.
  6. Choose a date range using the date range selector above the Leads List. Select a pre-defined timeframe or choose a custom date and time range, then click Apply.
  7. In the search field at the top left of the Leads List, type the chosen search term.
  8. The matching data will populate in the Leads List below.

Users can search by the lead's first name, last name, phone number, or email address.

Viewing Lead Details

  1. Log in to the platform.
  2. Click Leads on the navigation menu.
  3. The Leads Calendar page displays in the main window.
  4. Click the Leads List tab above the calendar.
  5. The Leads List page displays.
  6. Locate and click on the customer's name in the Leads List to open the Customer Information page.

Exporting Leads to a Spreadsheet

  1. Log in to the platform.
  2. Click Leads on the navigation menu.
  3. The Leads Calendar page displays in the main window.
  4. Click Leads List from the navigation menu.
  5. The Leads List page displays.
  6. Click the Leads List tab above the calendar.
  7. Choose a date range from the date picker. Select a pre-defined timeframe or choose a custom date and time range, then click Apply.
  8. Once the data has loaded, click the Export to CSV button to download the Leads List.

 

To change to the Lead Calendar view, click the Calendar View button at the top right of the page or Calendar from the navigation menu.
